HotelView ("we," "us," or "our") operates an AI-powered hotel operations platform that brings together guest feedback, task management, and actionable insights for hospitality teams. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the HotelView application, website, and related services (collectively, the "Service").
By accessing or using the Service, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Service.

Information you provide directly
- Account information — name, email address, and password when you create an account or sign in via email, Google, or Microsoft authentication.
- Organization & property data — hotel or property names, locations, and organizational details you enter into the platform.
- Task & operational data — tasks, assignments, priorities, notes, and status updates you create within the Service.
- Communications — messages you send through the AI copilot, WhatsApp integrations, and any support inquiries.
- HR data — staff scheduling and clock-in/clock-out data if you use our HR module.
Information collected automatically
- Usage data — pages visited, features used, actions taken, timestamps, and interaction patterns within the Service.
- Device information — browser type, operating system, device identifiers, IP address, and language preferences.
- Cookies & similar technologies — session cookies and local storage used to maintain your login state and preferences.
Information from third-party sources
- OAuth providers — when you sign in with Google or Microsoft, we receive your name, email address, and profile picture as authorized by you.
- Review platforms — guest reviews, ratings, and metadata imported from connected review platforms (e.g., Google, Booking.com, TripAdvisor) that you choose to integrate.
- Meta / Facebook — if you connect your account via Facebook Login, we receive your public profile information (name, email) as authorized by you. We do not post on your behalf or access your friends list.
- WhatsApp (Meta) — if you integrate WhatsApp messaging, we process message content and metadata necessary to deliver operational notifications to your team.
How We Use Your Information
We use collected information for the following purposes:
- To provide, operate, and maintain the Service, including the AI copilot, task management, review aggregation, and HR modules.
- To authenticate your identity and manage your account.
- To process and analyze guest reviews to surface trends and actionable insights.
- To deliver AI-generated recommendations, summaries, and operational suggestions.
- To send operational notifications via WhatsApp or other integrated channels.

How We Share Your Information
We do not sell your personal information. We may share information in the following circumstances:
- Within your organization — other members of your HotelView organization can see data relevant to shared properties and tasks based on access control settings.
- Service providers — trusted third-party providers who assist in operating the Service, including cloud hosting (Supabase, Vercel), AI processing, and analytics. These providers are contractually obligated to protect your data.
- Integrated platforms — data shared with platforms you explicitly connect (e.g., WhatsApp for messaging, review platforms for syncing).
- Legal requirements — when required by law, regulation, legal process, or governmental request.
- Business transfers — in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. If you delete your account, we will remove or anonymize your personal data within 90 days, except where retention is required by law or for legitimate business purposes (e.g., resolving disputes, enforcing agreements).
Operational data such as tasks and reviews associated with your organization may be retained in anonymized form for analytics and product improvement.
Data Security
We implement industry-standard security measures to protect your information, including encryption in transit (TLS) and at rest, secure authentication via Supabase Auth, role-based access controls, and regular security audits. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Facebook / Meta Data Deletion
If you signed up or logged in using Facebook, you can request deletion of your data by:
- Emailing privacy@hotelview.com with the subject "Facebook Data Deletion Request" and the email address associated with your account.
- Deleting your HotelView account from the Profile settings page, which will remove all associated personal data.
- Removing the HotelView app from your Facebook app settings, which will revoke our access to your Facebook data.
Upon receiving a valid deletion request, we will delete your personal data within 90 days and confirm completion via email.
Cookies & Tracking Technologies
We use essential cookies to maintain your session and preferences (such as language settings). We do not use third-party advertising cookies. Analytics cookies may be used to understand usage patterns and improve the Service. You can manage cookie preferences through your browser settings.
Children's Privacy
